What personal data we collect and why we collect it
When you create an account on GDPRmail.dk we store your data in our data centre located in Frankfurt on our AWS server. This data is not considered Personal Data in the GDPR sense since GDPRmail.dk is intended corporate user only, And you should not use it for Personal use and no Personal Data should be entered during the registration process. Only register using your company data.
The key function of GDPRmail.dk is to help employees identify Personal Data in their mailboxes. In order to do this GDPRmail.dk access, the mailboxes that you connect to GDPRmail.dk, and scans each individual mail. The scanner is comparing the data in your mail with millions of different words and algorithms to determine whether or not the mail contains Personal data. In this process, the data stream through different analytical pipelines in our Data Center on AWS in Frankfurt. Some of our analytical pipelines contain queues and databases where the data will reside until it’s processed. As soon as the data analyses are done any personal data is removed from any database or queue that it has resided in.
To be perfectly clear. As soon as your data has been analysed for GDPR compliance, your email data is deleted from our servers. We will store data on your generel compliance level, as they will be displayed in the graphs and report you receive. If you delete your account with us, all data will be removed instantly.
As an example. If your mail contains a social security number, we will store the information that your mail contains a social security number. But not the actual social security number.
When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
Access to your data
Data located mail accounts that are scanned by GDPRmail.dk can be subject to automatic analyses base on Data & Mores’ security software. This can be the case due to suspicion of the virus, malware, ransomware or other types of software that could pose a threat to the integrity of our service. Automatic analyses can also be conducted as a part of error detection, AI training or profiler optimisation. If your data is flagged by our security software you gdprmail.dk account will be suspended and a Data & More employee will contact you to obtain consent for further investigation of your data.

We do not share your data with anyone.
How long we retain your data
We retain your registration data as long as you are a customer of ours, and the 5 years as is required by Danish law. Any data that we have scanned is deleted in our toolbox as soon as the profiling is finished and cannot be re-created. However, the unique mail id that each mail has in your mail server is stored on our server so we don’t scan the same mail twice. This unique mail id does not contain any personal data and cannot be used to link, merge or create any personal data whatsoever.
What rights you have over your data
If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
Where we send your data
We send all scanning data to our servers on Amazon Web Services in Frankfurt. Contact forms sent to our CRM system HubSpot.com in the US, and analytical data is sent to analytics.Google.com
